September 15, 2009 CEC meeting

 

President Cindy Weber opened the September 15th meeting of the Chapter Executive Committee.  Other members in attendance were Janice Evans, Marilyn Hanson, Kim Knight, Brenda Loy, Denise Ragias, Natalie Storm, Patricia Townsend, Valerie Wedgeworth, and Michelle Wendel.

 

Cindy welcomed our new Secretary, Marilyn Hanson.

 

Cindy stated that those CEC members willing to have their pictures added to the website should stay after the meeting and Patricia will take your picture.

 

We collected cash donations of $48.65 for Children & Families of Iowa for school supplies as well as many school supplies. Michelle motioned (Valerie seconded) that the CEC agree to add $51.35 for a total contribution of $100.  All agreed.

AGA is signed up for Jolly Holiday Lights on Monday December 7.  MARK YOUR CALENDARS!!!

Cindy discussed cutting down all “reply all” emails. If someone emails a question to CEC members, just respond to them and not everyone on the email (if it’s not required/requested by the sender). 

Cindy suggested that we combine ALL future lunch n learns with the audio conferences.  There seems to have been good turnouts when have done this in the past and it would help ease the burden of booking rooms for our meetings/audios.  Janice will research to see if we have to change our bylaws and resubmit our plan to AGA National.  Kim motioned (Denise seconded) to combine future lunch n learns with audio conferences.  All yes except for one ( Natalie).

Jamie McDermott from ING has agreed to present at the October 7 lunch n learn.  Denise agreed to place the Quiznos order for the October 7 lunch n learn.

Future speakers: Michael Fitzgerald, Treasurer of State (date to be determined); Christie Maitre, IRS (in January 2010). 

May 2010 ethics speaker is Patrick Kuhse.  We are waiting to get a signed contract back from Mr. Kuhse. Val will follow up.  Val will also check with Mr. Kushe about possibly splitting of some of his travel costs with another group in Kansas City.  She will also ask if someone from our chapter can pick him up and take him to the airport to avoid a car rental.  Michelle had lots of information on different catering options for the May conference.  This was turned over to the May conference committee.

 

Patricia will investigate adding a link from the current Des Moines Chapter AGA website to facebook.  It was felt if this could be done without a lot of up keep it would be good for recruiting early career members.

 

Natalie motioned (Patricia seconded) to amend the speaker fees budget from $500 to $2,000.  All agreed.

 

An accounting of August monthly expenses and September expenses were shared.  Natalie stated there are currently no September expenses pending.

 

The recruitment funds from National have been received by Cindy.  The CEC discussed adding additional funds to the recruitment funds in order to provide two free AGA memberships to nonmembers.  Valerie motioned (Patricia seconded) to give two free AGA memberships in January/February of 2010 to nonmembers. It was further discussed that an article should be written for the newsletter telling nonmembers of the potential membership scholarships.

 

Newsletter articles are due to Kim by September 25 for newsletter to go out September 30.

 

Patricia is working on the CRP which is due Sept. 30 for the first quarter.

 

On-line registration worked well for those that used it.  Natalie felt it was very beneficial and it was decided that we should keep using it.

 

It was suggested to compile a list of people who would be willing to attend college career days or similar functions of this nature to represent AGA.  It was felt this was a good way to reach out to Early Careers members. 

 

 Patricia is currently working on updating the website.

 

Natalie motioned (Michelle seconded) to look at the bylaws to see if they need to be changed so the  award given to the “Member Of The Year” could be a VISA gift card rather than a savings bond.  All agreed.

 

Valerie is going to get the CGFM guide books from the State Library and give them to Natalie to keep for the chapter.  Natalie will have the books available for check out.

Cindy would like for CEC members to look at the Procedures Manual and make revisions in preparation for the October meeting.

 

It was discussed that typically the president elect is sent to the PDC each year.  Because Cindy couldn’t go last year, Patricia went.  So it was motioned by Michelle (Valerie seconded) that Cindy and Patricia decide between them who will go this year.  They can proceed with airline tickets and then amend the budget as needed for the airline ticket.   All agreed.

 

Our next meeting is Tuesday, October 20 @ 11:30 a.m. in Lucas Building conference room.
